Job Summary

The Human Resources Assistant is responsible for payroll duties, and lending support to all internal and external HR related inquires or requests.
 
Primary Responsibilities:
 
Payroll Duties:
  • Collect and summarize timekeeping information
  • Obtain supervisory approval of time card discrepancies
  • Collecting, calculating, and entering accurate data (worksheets) in order to maintain and update payroll information
  • Obtain overtime approvals
  • Process employee advances and paybacks
  • Resolving payroll discrepancies
  • Maintaining payroll operations by following policies and procedures
  • Process and close periodic payrolls
  • Fortnightly update supervisors with employee leave entitlement report
 
Recruitment and Selection:
  • To liaise with selected employment agencies to solicit suitable candidates for vacant positions
  • To schedule interviews and advise candidates and employment agencies accordingly.
  • To advise unsuccessful candidates through regret letters and advise successful candidates of their selection.
  • To make appointments for pre-employment medicals and other related arrangements associated with new hires.
  • To prepare contracts for all new staff members.
  • To prepare all documentation and correspondence required for interviews & new hires are submitted within the stipulated period.
 
Leave Administration
  • To accurately process all leave applications for all members of staff
  • Processing applications forms entail:
  • Check to ensure all authorized signatures are affixed to the appropriate form
  • Utilizing the electronic leave record file and employee file to ensure leave availability.
  • Accurately updating all employee leave information on the electronic leave record file & the employee file
  • File leave application forms
  • Prepare monthly HR reports on employee attendance, punctuality and prepare letters as needed
 
Other HR Assistant Duties:
  • Support all other internal and external HR related inquiries or requests
  • Maintain digital and electronic records of employees
  • Perform other clerical duties including photocopying, spiral binding, receiving and delivering messages as required by and for the department
  • Type reports, letters, memoranda and other documents as required
  • Serve as point of contact with employees and supervisors
  • Filing of all correspondence
  • Assist in HR projects as assigned by HR Officer or his/her designate         
  • Assist in any other duties as assigned by the HR Officer.                                                                                                                                                    
Requirements:
  • Diploma in Human Resources or related
  • Two years’ experience as an HR Assistant
  • Exposure to Labour  Law and employment equity regulations
  • Understanding of HR functions and best practices
  • Exposure to payroll practices
  • Experience in the MicroPay payroll software will be an asset
  • Computer literate
  • Excellent organizational, time management and Interpersonal skills
 
Key skills, abilities & knowledge:
  • Must have the ability to accurately follow instructions
  • Meticulous attention to detail and accuracy
  • Knowledge of HR protocol, policies and procedures
  • Must have knowledge of and ability to competently use accounting systems
  • Must have an understanding of basic accounting principles
  • Must be able to work with strict deadlines
  • Must be able to function with a high level of professionalism when interacting with external and internal clients.
