JOB DESCRIPTION
CONTRACTUAL POSITION
 
JOB/POSITION TITLE: Accounts Payable Clerk
REPORTS TO: Accounts Manager
LOCATION: Head(North)/South office
 

JOB PURPOSE/SUMMARY:
The incumbent performs a range of accounting, clerical and related tasks with varying degrees of complexity, requiring knowledge and skills in the checking, processing and maintenance of accounting records in accordance with approved policies and procedures. 
 

KEY/MAIN DUTIES AND RESPONSIBILITIES:
  • Checking, reviewing and processing claims and invoices.
  • Marking-off triplicate purchase orders after payments have been made to adjust outstanding commitments.
  • Preparing schedules/vouchers for suppliers’ claims.
  • Filing payment vouchers and other financial documents.
  • Assisting in posting recurrent expenditure, updating and maintaining accounting journals and ledgers.
  • Balancing of Cash Book.
  • Preparation of monthly bank reconciliations.
  • Distributing cheques to contractors.
  • Data capturing all Accounting Transactions (purchase orders, disbursements, cheque payments and receipts).
  • Generating Accounting Statements and Reports.
  • Assisting in balancing and reconciling Accounting/Financial Statement’s and Reports.
  • Generating ‘ad hoc’ reports and meeting deadlines.
  • Performing any other accounting functions necessary to maintain the efficiency and accountability of the Accounting Unit.
 
KNOWLEDGE, SKILLS AND ABILITIES:
  • Detail oriented, ethical and team player with ability to meet deadlines.
  • Interpersonal skills.
  • Ability to maintain confidentiality and adherence to accounting standards in collaboration with internal policies and guidelines.
  • Training and experience in Microsoft Applications with emphasis on MS Excel and Accounting Software.
  • Ability to communicate clearly and concisely, both orally and in writing.
 
MINIMUM EXPERIENCE AND TRAINING:
  • At least three (3) years’ experience and a recognised Diploma/Certificate/Associate Degree in Accounting.
  • Some experience with Peachtree/SAP Accounting software applications.
  • Considerable knowledge of bookkeeping and experience in a computerized accounting environment.
  • Any equivalent combination of training and experience would be considered.
