Job Description:

The Administrative Assistant will assist the Marine Coordinator with day-to-day duties as per below list:

Key Responsibilities: 
• Maintain and update records related to vessel movements, permits, certifications, and compliance documentation. 
• Prepare and process invoices, purchase orders, and expense reports. 
• Coordinate logistics for crew changes, travel arrangements, and accommodations. 
• Assist in preparing vessel inspection reports as required. 
• Ensure timely submission and tracking of regulatory and safety compliance documents. 
• Handle confidential information with discretion and professionalism. 
• Perform other administrative tasks as assigned to support the Marine Coordinator and overall operations. 

Qualifications & Skills: 
• Proven experience as an Administrative Assistant, preferably in the marine, oil & gas industry. 
• Strong organizational and multitasking abilities with keen attention to detail. 
• Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint). 
• Excellent written and verbal communication skills. 
• Ability to work independently and collaboratively in a fast-paced environment. 
• Familiarity with maritime regulations and industry-specific documentation is a plus. 
• Problem-solving skills with a proactive approach to administrative tasks. 
• High level of integrity and ability to handle sensitive information confidentially.
