Job Description:
JOB TITLE: PROJECTS ASSISTANT (CONSTRUCTION DIVISION) JOB SUMMARY The Project’s Assistant is responsible for coordinating all project elements from inception to completion as well as ensuring the project remains within budget in order to meet the requirements of the customer’s needs. Work on many phases or sub-tasks of projects or entire projects of moderate complexity, with results impacting on project completion. Work under general supervision, reviewed at project milestones and/or on completion by the Project Manager.
KEY DUTIES- Assist in tender documentation management process, including tender evaluation, submissions and suppliers’ liaison
- Assist in selection of appropriate suppliers and contractors, to promote good procurement practice with due regard to sustainability, ethical purchasing standards and costing
- Work with Project’s team to determine and finalise procurement needs, quality, delivery and completion requirements and any other tasks that are deemed necessary.
- Timeously placing of order, supply / demand alignment, material replenishment and supplier performance.
- Monitor, evaluate and improve supplier performance, according to an appropriate Service Level Agreement (SLA), on a continuous basis.
- Monitoring expenses against approved budgets
- Develop sourcing strategies.
- Cost saving, budgeting and targeting.
- Payment terms negotiation, optimization and management.
- Provides assistance in the maintenance of financial records on the utilisation of funds under all projects.
SITE SUPERVISION
- Tracks the progress of projects using appropriate project management tools and techniques.
- Inspects and verifies that all materials delivered to the construction site comply with contractual requirements.
- Monitor and conducts on-going site inspections to ensure adherence to all building codes, plans and specifications and in accordance with required standards; takes action as necessary
- Witnesses testing and quality control activities to ensure compliance with contract requirements
- Monitors construction work schedules to ensure they remain ‘on schedule’
- Prepares and submits detailed reports on any deviations in workmanship, construction activity or schedules together with appropriate recommendations
- Review and update inventory at all sites
PROJECT MANAGEMENT SUPPORT
- Assists the Projects Manager in the review and evaluation of plans, specifications and designs submitted by contractors and/or engineers
- Assists the Projects Manager in verifying the quantum of works completed by each contractor
- Assists the Projects Manager with commissioning or updating the punch/snag list in the approved format
- Participates in project meetings as the Organization’s site representative as required and prepares/ submits reports to seniors within the specified timeframe
- Assists in the preparation of Scope of Works, Specifications and Cost Estimates for variations to the work in progress or for developing RFQs/RFPs.
DOCUMENTATION OF RECORDS AND REPORTS
- Gathers and compile all activities of the construction site via the daily, weekly, monthly reports in accordance with the Organization’s procedures and standards, including:
- Visitors to the construction site
- Materials delivered to site / Materials Used
- Incidents / Accidents
- Security related matters
- Prepares and submits daily/weekly/monthly reports on assigned project(s), utilizing the approved formats and within the agreed time frames
QUALIFICATIONS & EXPERIENCE
- BSc Civil Engineering
- Associate Degree / Diploma in Operations Management / Projects Management / CIPS Cert
- A minimum of 5 CXC O’ levels including English and Mathematics
- Proven ability to work across organizations with effective communication, leadership, and project management skills
- Proven attention to detail
- 1-3 years of industry experience
- Previous Civil experience will be considered an asset
- Proficient skills in Microsoft Office, including Microsoft Word, Microsoft Excel, MS Projects
- Any equivalent combination of skills and experience.
KNOWLEDGE & SKILLS:

- Knowledge of construction management, building standards, specifications and codes.
- Knowledge of project management principles, practices, techniques and procedures.
