Job Purpose:To provide legal, administrative and secretarial support ensuring the efficient operation of the office.
Key Responsibilities:
- Prepare, format, and proofread legal documents such as contracts, court forms, and correspondence.
- Transcribe dictations and draft legal documentation.
- File legal documents with courts and government agencies.
- Maintain and organize legal files, both paper and electronic.
- Manage attorneys’ calendars, schedule meetings, and coordinate court dates.
- Liaise with clients, courts, and other legal professionals.
- Handle incoming and outgoing correspondence (mail, email, telephone).
- Perform general office duties.
- Assist with billing processes and timekeeping records.
- Ensure confidentiality and security of all legal documents.
Requirements:Education & Qualifications:
- University Degree or equivalent experience required.
- Administrative training is a plus.
Experience:
- Minimum three (3) years of experience in a legal environment.
- Familiarity with legal terminology, documents, and procedures.
- Experience supporting attorneys in legal practice (as relevant).
Skills & Competencies:
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Attention to detail and accuracy.
- Proficient in Microsoft Office Suite and legal case management software.
- Ability to work under pressure and meet deadlines.
- Professional demeanour and strong sense of discretion.
Desirable:
- Experience with specific practice areas (e.g., probate, litigation, family law, real estate, corporate law).
- Knowledge of e-filing systems and court procedures.
