Description
Provides general administrative support to the HR & Safety Department. Creates a professional image of the Company with excellent customer service in the execution of Reception duties, including but not limited to, answering phones, receiving visitors, preparing meeting and training rooms, handling mail and making travel plans. Bilingual (Spanish/English) skills are required.
RESPONSIBILITIES
Telephone System
- Operate the telephone system which includes receiving and transferring internal / external calls and taking / delivering brief messages via email to the intended recipient in a timely manner.
- Report telephone equipment or line failures to the IT Department.
- Train relief staff on telephone system and take a pro-active approach to ensure existing employees are properly trained on the system.
- Greet / welcome visitors and ensure they sign in the Visitor's book and inform the relevant member of staff of their arrival.
- Ensure the reception area is kept tidy and projects a professional image.
- Keep a record of staff and visitors signing in and out of the building.
- In the event of a fire or emergency requiring staff / visitors to leave the building, ensure the Visitors book and staff movement sheets are taken to the Muster Point.
- Maintain stationery records and report any issues; distribute stationery to employees as required.
- Assist the Finance Department with cheques distribution to suppliers.
- Receive mail and packages and distribute as required.
- Place lunch orders for Management and Plant visitors.
- Schedule weekly car washes for Management.
- Assist with organizing the Conference Room before and after meetings.
- Provide general administrative support.
- Ensure adequate relief for the Reception desk during break periods.
- Execute all relevant responsibilities as outlined in the Roles, Responsibilities and Authorities Matrix (MT-GM-004) to ensure compliance with the Integrated Management System (IMS).
- Perform any other related duties that may be assigned.
EDUCATION & TRAINING
- A minimum of five (5) O’Level / CSEC passes including Mathematics and English Language (I & II)
- Intermediate written / verbal Spanish is required.
- Intermediate typing skills will be an asset.
EXPERIENCE
- A minimum of one (1) year experience in an office environment.
- Experience in operating a telephone system and other office equipment (e.g. multifunction devices) will be an asset.
