Job Purpose
The Production Planner is responsible for developing and issuing production schedules aligned with sales forecasts, inventory targets, and operational capacity. This role collaborates with supply chain, production, and maintenance teams to assess material, labour, and equipment availability, ensuring resource alignment for timely and cost-effective output. The Planner monitors schedule execution, prepares analytical reports, and supports both local and export operations through data-driven planning and proactive issue resolution.

Key Duties & Responsibilities

Production Scheduling & Planning
• Develop and manage weekly production schedules based on sales forecasts, local/export demand, inventory levels, and available capacity.

• Adjust schedules in response to changes in material availability, operational constraints, or customer requirements.

• Provide timely production updates and communicate scheduling changes via internal platforms.

• Maintain the annual line loading report and track monthly production volume performance against plan.

Reporting & Performance Analysis
• Prepare and distribute reports including WIP, daily output, labour utilization, and schedule adherence.

• Assist in analysing performance trends (e.g., labour cost, overtime, yield, NPT) to support continuous improvement and decision-making.

• Track production output vs. forecast and sales, highlighting gaps or variances.

• Develop reports to support trade optimization (e.g., stock aging, fill rates, export fulfilment rates).

Inventory & Materials Coordination
• Monitor raw material and finished goods inventory to ensure readiness for scheduled production.

• Coordinate with Production and Materials teams to adjust plans in response to inventory levels or capacity changes.

• Lead or support stock counts and participate in production order closure and variance reporting.

• Maintain accurate planning data to reduce inventory variances and ensure traceability.

 

Issue Resolution, Documentation & Continuous Improvement
• Investigate root causes of production or planning inefficiencies (e.g., downtime, changeovers, NPT) and recommend corrective actions.

• Conduct planning audits to ensure data accuracy and documentation compliance.

• Recommend and implement improvements to scheduling, reporting, and planning processes that enhance efficiency, visibility, and cost control.

Cross Functional Collaboration 
• Liaise with key departments to ensure alignment on priorities and material readiness.

• Communicate updates and risks proactively to enable cross-functional coordination and decision-making.

• Perform any other related duties that support effective planning and operations performance.

Skills & knowledge required
• Production Planning & Scheduling: Strong understanding of workflow, capacity balancing, and schedule optimization.

• Data Analysis & Reporting: Skilled in using Excel and analytical tools to interpret production and inventory data.

• Inventory & Materials Management: Knowledge of inventory control, BOM usage, and material flow.

• Problem Solving & Decision Making: Effective in identifying and resolving planning and execution issues.

• Communication & Collaboration: Strong interpersonal skills to coordinate with multi-functional teams.

• Attention to Detail & Systems Proficiency: Accuracy in data management and familiarity with ERP/MRP systems.

• Time Management & Adaptability: Ability to manage competing priorities in a dynamic manufacturing environment.

• Audit Readiness: Awareness of traceability and compliance standards in manufacturing environments.

Qualifications & Experience required
• Bachelor’s degree in Operations Management, Industrial Engineering, Logistics, or a related field (required).

• 3–5 years’ experience in production planning, preferably in FMCG or food manufacturing.

• Advanced Microsoft Excel skills; familiarity with ERP or MRP systems (e.g., SAP, Oracle) required.

• Excellent analytical, organizational, and communication skills.
