POSITION SUMMARY
Supervises the Accounts Payable function of the organization by implementing administrative controls, ensuring compliance with the established policies and procedures. This includes reviewing, analyzing, coordinating and classifying the Company’s liabilities with third parties, and maintaining proper invoicing processes reflective of customer requirements.
SUPERVISORY RESPONSIBILITY
Direct Reports: Two Indirect Reports: Nil
RESPONSIBILITES
1. Oversees the daily receipt of invoices against purchase orders and receiving reports to collect the necessary information.
2. Supervise Accounts Payable Team, which includes but not limited to, AP operations and assignment of work, training and development and performance management.
3. Verify and analyze monthly, the liabilities contracted by the Company from utility bills, inventories, spare parts, supplies and others, to create reasonable liabilities.
4. Estimate and record provisions of expenses for monthly closings to create the accounting reserve.
5. Generate documentation of accounting transactions to establish control of expenses.
6. Coordinate monthly closing procedures to ensure proper registration.
7. Check and analyze the maturity of invoices to control liabilities.
8. Reconcile and analyze the differences in the reception of raw material and packaging material, chemicals against AP reconciliations.
9. Prepares relevant reports as required for Management, which includes but not limited to, weekly reports of AP balances, monthly Accounts Payable and Accounts Receivable reports.
10. Analyzes general ledger accounts, cash advances and purchases made by the Company following the established procedures of the same in order to maintain control of the accounts.
11. Reconcile daily accounts with suppliers to clarify issues that arise during the checkout process.
12. Execute all relevant responsibilities as outlined in the Roles, Responsibilities and Authorities Matrix (MT-GM-004) to ensure compliance with the Integrated Management System (IMS).
13. Perform any other related duties that may be assigned.
EDUCATION & TRAINING
A Bachelor’s Degree in Management, Business Administration or any other related discipline from a recognized institution or ACCA Level 2
A CAT / Accounting Technician Certification
EXPERIENCE
A minimum of five (5) years’ experience in accounts payable, general accounting or other similar function with at least two (2) in a Supervisory role.
Working knowledge of accounting, statistics and reconciliation.
Working knowledge of an accounting software will be an asset.
