About the role:
We are seeking a highly motivated Administrative Assistant to join our team. This position provides essential clerical and organizational support to ensure the smooth operation of our organization. This involves a variety of tasks and serves as a central point of contact.
Key responsibilities of this position includes but are not limited to the following:
- Answering phones when necessary, managing correspondence (emails, letters), and relaying messages.
- Provide support within the Sales department to manage incoming enquiries and co-ordination with the members of the department, providing reports to management as required.
- Preparation and compilation of tender documents.
- Scheduling appointments and coordinating meetings when required.
- Maintaining files, databases, and records, both physical and digital.
- Creating and editing documents, reports and other materials.
- Assisting with various tasks to support managers and colleagues, including project management assistance.
- Assisting with the Service department, scheduling and co-ordination when required.
- Maintaining purchase order reports and job status.
Job Requirements:
- Ability to manage multiple tasks, prioritize effectively, and stay organized.
- Strong written and verbal communication skills are essential for interacting with colleagues, clients, and vendors.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Accuracy and attention to detail are crucial for tasks like data entry, record keeping, and document preparation.
- Ability to manage time effectively and meet deadlines.
- Ability to troubleshoot issues and find solutions.
- Providing excellent support to visitors and colleagues.
- Ability to adjust to changing priorities and new tasks.
Education & Experience:
Certification in Administrative Professional or similar field.
Minimum of five (5) years working experience, having specialized knowledge and skills in an office or administrative role.
