Purpose: The incumbent will be responsible for assisting with the supervision and development of Purchasing Clerks in the performance of their job description duties and to personally source and purchase goods from local manufacturers and distributors so that such goods can be sold by the Company at competitive prices.
Duties and Responsibilities:
Sources materials for both resale and the company’s use
Negotiates with local suppliers for goods which are to be resold
Prepares purchase orders both electronically and manually
Assist with ensuring that the Purchasing Clerks are verifying the accuracy of purchase requests, and developing & executing purchase orders
Co-ordinates with the Purchasing Clerks so that they will ensure that there is enough stock in the inventory to meet expected demands from customers
Faxes or emails scanned purchase orders to vendors and relevant branches
Follows up with the Accounts Department to ensure that vendors receive their cheques on time
Assists with maintaining a secured filing system in the purchasing department and updates appropriate records when required
Liaises with suppliers to resolve issues such as defective products or incorrect order quantities
Visits suppliers to perform checks, maintain good relations and address queries
Monitors purchase orders from system
Attends ad-hoc meetings with directors who need an update on any area under the incumbent’s portfolio or may want to evaluate the viability of existing relationships with vendors
Assists with the supervision and mentorship of any Purchasing Clerks
Observes all Occupational Safety and Health regulations as per company policy and ensures that direct reports observe same also
Any other duties that may be required.
Qualifications, Education, Experience:
Minimum of 5 O’Levels at General Level;
At least 7 years in a similar position;
Must be a skilful speaker and negotiater;
Must have excellent Teamwork abilities;
Must work on own initiative;
Must be dependable;
Must be highly competent with figures;
Must be confidential; and
CIPS (Chartered Institute of Purchasing & Supply) International Certificate would be an asset
