Position Objective
The Customs Clerk – Grade 2 is responsible for preparing, processing, and overseeing import and export documentation while ensuring full compliance with Customs and Excise regulations, port protocols, and internal company procedures. The role supports the smooth clearance and dispatch of goods, timely submission of documents, and effective communication with government agencies, shipping lines, and internal departments.
Duties & Responsibilities
EXPORTS
• Prepare and process all export documentation including:
o Customs forms
o Bills of Lading
o Asycuda entries for Caricom exports
• Book vessel sailings with shipping agents and ensure accurate transmission of export information.
• Maintain export logs and ensure all documents are filed and stored according to compliance guidelines.
• Book containers on NAVIS as required.
IMPORTS (as assigned by Supervisor)
• Prepare and process all import documentation including:
o C82 Customs forms
o Supplier invoices
o C75 Bills of Lading
o Any additional documents associated with duty entry.
• Check and verify estimated time of arrival (E.T.A.) for all incoming shipments.
• Ensure timely follow-up with shipping companies, shipping agents, and port personnel to avoid delays and unnecessary charges.
Operational & Reporting Duties
• Prepare weekly financial requirements for submission to the Customs Department.
• Prepare and circulate weekly lists of goods to be cleared from the Port and send to relevant Branch Managers.
• Prepare bi-weekly lists of incoming cargo and update internal tracking systems.
• Sign all customs-related documents on behalf of Bhagwansingh’s Hardware and Steel Industries Limited when authorized.
• Prepare correspondence for Government Ministries and regulatory bodies as required.
• Apply for import and export licenses on TTBiz and ensure renewals are completed within required timeframes.
• Maintain accurate records of all import and export activities, including hardcopy and electronic filing.
• Conduct routine checks to ensure all entries are compliant with Customs regulations and company policies.
Additional Value-Added Duties
• Assist with monitoring demurrage, storage, and port charges to prevent unnecessary costs.
• Communicate with internal departments regarding shipment status, delays, or required documentation.
• Support the Supply Chain or Purchasing Department with shipment updates, discrepancies, or documentation issues.
• Assist with coordinating inspections, examinations, or Customs verifications when required.
• Participate in periodic audits of customs records and documentation.
• Ensure strict adherence to compliance standards, data accuracy, and confidentiality.
Other Duties
• Perform any other related duties assigned by Management in keeping with the responsibilities of the position.
Requirements
• Proficient in Microsoft Office (Word, Excel, Outlook).
• Qualified Grade 2 Customs Clerk.
• Minimum of five (5) years’ experience in a customs-oriented or shipping-related position.
• Experience with shipping procedures, port operations, and logistics coordination.
• Training and proficiency in ACE and ASYCUDA systems.
• Goal-oriented, organized, and capable of working in a fast-paced environment.
• Strong teamwork skills with the ability to work independently.
• Self-motivated, reliable, and committed to meeting deadlines.
