Position Objective
The Inventory Clerk is responsible for maintaining accurate inventory records and supporting the efficient control, movement, and storage of stock throughout the Company's operations. The incumbent ensures that inventory transactions are recorded accurately, inventory levels are monitored, stock discrepancies are identified and reported, and all inventory-related documentation is properly maintained.
The position plays a critical role in supporting operational efficiency by ensuring inventory accuracy and assisting in the effective management of stock within BHSIL’s warehouses, Steel and Lumber yards, and external storage locations.
Duties and Responsibilities:
Inventory Control
· Maintain accurate inventory records in current ERP software.
· Prepare data entry of all inventory transactions including receipts, intersite transfers, inventory adjustments, stock returns, and any relevant inventory issues.
· Monitor inventory levels and report shortages, overages, damaged stock, and reconciliation discrepancies to the Inventory Manager or Supervisor.
· Verify inventory quantities against supporting documentation and system records.
· Ensure all inventory transactions are entered accurately and in a timely manner.
Receiving and Stock Verification
· Verify incoming inventory against purchase orders, delivery notes, invoices, Certificate of Analysis (COAs), Technical Data Sheet (TDS), packing lists and other supporting documents.
· Confirm invoice particulars corresponds to physical receipts and inventory received in good condition.
· Report shortages, damages, discrepancies, or incorrect deliveries to Warehouse Manager or Supervisor
· Ensure inventory is properly identified, labelled, and stored in designated locations.
Inventory Counts and Reconciliations
· Participate in periodic annual stock counts for all branches and Centrin
· Conduct cycle counts as assigned.
· Reconciling physical inventory counts with ERP on hand quantities.
· Prepare count sheets and inventory reports as required.
· Ensure stock count procedures are followed accurately and consistently.
Documentation and Record Keeping
· File and retain inventory-related documentation in accordance with company procedures.
· Assist with internal and external audits by providing inventory records and supporting documentation.
Customer and Internal Service Support
· Respond to inventory-related queries from management and internal departments.
· Assist Sales, Procurement, Warehouse, and Operations personnel with inventory information and stock availability.
· Provide accurate inventory data to support purchasing and operational decisions.
· Assist in locating and verifying stock for customer orders and operational requirements.
Health, Safety and Compliance--
· Comply with all Company policies, procedures, and inventory control standards.
· Adhere to Occupational Safety and Health (OSH) requirements at all times.
· Report unsafe conditions, damaged inventory, or operational concerns promptly.
· Ensure proper handling of inventory to minimize damage, loss, and waste.
· Maintain confidentiality of inventory information and company records.
General Responsibilities
· Maintain a professional and cooperative working relationship with colleagues and customers.
· Assist with inventory process improvements.
· Attend training sessions and meetings as required.
· Perform any other related duties assigned by Management consistent with the nature of the position.
