As Projects & Events Coordinator, you’ll play a key role in bringing ideas to life: leading project rollouts, executing standout events, and contributing to the strategy that connects it all. This is a delivery-focused role, but one that also values insight, creativity, and ownership. You’ll work closely with the CEO and designated support (graphics, production, etc.) to meet deadlines and exceed expectations.

Your Role Will Focus On:

Event & Project Management (Including Marketing & Strategy Support)

• Lead the planning, logistics, and on-the-ground execution of activations and marketing-led events

• Manage live and ongoing projects, tracking deliverables, timelines, and team accountability

• Translate event or campaign objectives into clear plans — from execution schedules to creative briefs

• Coordinate with internal and external teams (e.g., design, media, logistics) to bring campaigns and events to life

• Support content development and ideation (e.g., naming concepts, brand activations, marketing themes, and audience engagement strategies)

• Ensure all touchpoints — digital, on-site, or experiential — align with the broader brand message and marketing goals

• Prepare and manage project documentation: task trackers, manuals, call-downs (CODs), briefing notes, contracts, and creative guides

• Monitor spend across events and projects, ensuring cost-effective, transparent decision-making

• Perform risk assessments for each project or event and propose solutions when challenges arise

• Ensure compliance with local regulations, including necessary approvals, filings, or documentation

• Deliver a minimum of 90% of assigned tasks within the contract period

• Willing and available to work outside of normal business hours and weekends when required by event timelines

• Must be able to travel on short notice for events, project-related activities, or site visits

New Business Opportunities (Optional)
Where relevant, identify and share opportunities aligned with our core areas (events, media, research,  activations). A 2% commission applies to successful converted leads.

Knowledge, Experience & Skills Required

• Minimum 2 years proven experience in event coordination and/or project management

• Familiarity with marketing principles and experience contributing to brand or campaign rollouts

• Strong understanding of event execution, timeline management, and project workflows

• Experience working with cross-functional teams or external vendors

• Excellent written and verbal communication skills

• Proficient in Microsoft Office and/or G-Suite (Excel, PowerPoint, Docs, etc.)

• Skilled in managing multiple priorities across overlapping deadlines

• Confident navigating both creative and logistical elements of a project

• Calm under pressure, solutions-oriented, and highly accountable

• Must be open to evening/weekend work based on event demands

• Must be willing and able to travel on short notice for activations or coordination
