Description
Job Title: PURCHASING OFFICER
I) PURPOSE OF THE JOB
The Purchasing Officer is responsible for managing the procurement of goods and services, including the negotiations of contracts with vendors to secure favourable terms. This role involves proactive strategic research, planning, and sourcing to effectively meet the organization’s needs.
II) KEY ACCOUNTABILITIES
- Propose and coordinate the purchase of materials according to the requirements of the production planning team.
- Control compliance with customs regulations in the company’s import and/or export processes in order to minimize legal sanctions by tax and customs control bodies.
- Apply strategic negotiation methodologies to implement supply alternatives that comply with legal requirements and optimize the costs of supplying operations.
- Preparation of all shipping, customs and brokerage documents.
- Provides oversight of the quotation to purchase order process and track and document all relevant information.
- Negotiate contracts and manage supplier relationships.
- Monitor contract performance and ensure compliance.
- Analyse pricing, identify cost-saving opportunities, and optimize procurement processes.
- Preparation of costings for all incoming shipments.
- Provide guidance and training to procurement staff if and when necessary.
- Review and expedite purchase orders and manage procurement policies.
- Any other duties that may be assigned from time to time.
III) OTHER DUTIES AND RESPONSIBILITIES
- Ensures the compliance of HSSE standards and practices and applicable legislation in the execution of duties.
- Attends departmental and company meetings when required.
- Participates in annual and periodic stock counts.
IV) TECHNICAL COMPETENCIES
- Chartered Institute of Procurement and Supply (C.I.P.S.) Level 2 or equivalent.
- 3 years relevant work experience in procurement or supply chain management.
- Proficiency in Microsoft Office Suite and any Enterprise Resource Planning (ERP) system
- Detail oriented with strong negotiating skills.
- A good team player with strong interpersonal skills.
- Ability to work independently and effectively within strict timelines.
- Excellent oral and written communication skills.
