Job Summary for Legal Secretary in Property & Estates
 
Location: Chaguanas

To provide general secretarial and administrative support to an Associate in the Property & Estates Department.
 
Major Responsibilities
  • Open files manually and in Amicus and obtain matter numbers
  • Acknowledge receipt of instructions and send out searches
  • Follow up with Title Clerks regarding searches
  • Type reports on titles and do follow up checks regarding outstanding documents
  • Liaise with clients including officers at financial institutions, throughout each transaction
  • Handle queries and correspondence from clients
  • Schedule appointments and maintain accurate diary
  • Make arrangements to close transactions
  • Return all relevant documents to banks and clients
  • Ensure that all outstanding documents necessary for closing off files have been obtained
  • Close files and present same to the Supervising Attorney before sending for binding
  • Enter all other relevant information in Amicus and complete FIU folders
  • Maintain up to date files and a filing system where files are diarized for regular review
  • Type general letters and legal documents including deeds
  • Photocopy or scan various correspondence, documents and other printed matter
  • Mail, email, fax or arrange for delivery of legal correspondence to clients
  • Prepare deposit requisitions
  • Provide estimate of fees to clients
  • Receive and place telephone calls; take and relay messages on behalf of the Supervising Attorney
  • Any other related duties that may be assigned
 
Minimum Requirements
  • A recognised secretarial certification or acceptable equivalent
  • At least 5 CXC General passes (including English Language) or equivalent
  • 3 years’ experience in a similar position
 
Desirable Knowledge, Skills and Abilities
  • Knowledge of deeds and conveyancing
  • Knowledge of secretarial functions
  • Knowledge of administrative and clerical systems and procedures such as word processing and records management
  • Knowledge of practice management software Amicus would be a plus
  • Computer literacy and proficiency in the use of Microsoft Word
  • Advanced typing and note-taking skills
  • Excellent interpersonal, customer service and communication skills
  • Organisational and time management skills
  • Ability to multi-task and meet deadlines in a fast-paced environment
  • Ability to use initiative
