JOB PURPOSE / SUMMARY
The Executive Assistant will provide comprehensive administrative support, ensuring efficient operation and management of the Director’s office. This role requires a proactive and detail-oriented professional capable of managing a variety of tasks, maintaining confidentiality, and effectively communicating with stakeholders at all levels.
 
 
KEY RESPONSIBILITIES
Overall:
 
  1. Manage the Director’s calendar, scheduling appointments, meetings, and travel arrangements.
  2. Prepare and organize materials for meetings, including agendas, presentations, and reports.
  3. Serve as the primary point of contact between the Director and internal/external stakeholders.
  4. Conduct research and gather information to assist with decision-making and project management.
  5. Draft and edit correspondence, reports, and other documents as needed.
  6. Coordinate and facilitate meetings, including taking minutes and tracking action items.
  7. Monitor and manage departmental budgets and expenses, ensuring accurate record-keeping.
  8. Assist with the onboarding and training of new team members.
  9. Handle sensitive information with discretion and maintain confidentiality.
  10. Support special projects and initiatives as directed by the Director.
  11. Support the analysis of retail inventory.
  12. Must be able to work flexible work hours.
  13. Must be flexible to travel overseas for business purposes

EDUCATION & EXPERIENCE
 
  • Qualification and Experience Requirements Bachelor’s Degree in Management, Finance, Economics, Accounting, or a related field is required.

  • Experience in the IT/Tech industry would be an asset
  • Strong analytical skills with the ability to critically evaluate information gathered from multiple sources.
