The Executive Assistant will provide comprehensive administrative support, ensuring efficient operation and management of the Director’s office. This role requires a proactive and detail-oriented professional capable of managing a variety of tasks, maintaining confidentiality, and effectively communicating with stakeholders at all levels.
KEY RESPONSIBILITIES
Overall:
- Manage the Director’s calendar, scheduling appointments, meetings, and travel arrangements.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Serve as the primary point of contact between the Director and internal/external stakeholders.
- Conduct research and gather information to assist with decision-making and project management.
- Draft and edit correspondence, reports, and other documents as needed.
- Coordinate and facilitate meetings, including taking minutes and tracking action items.
- Monitor and manage departmental budgets and expenses, ensuring accurate record-keeping.
- Assist with the onboarding and training of new team members.
- Handle sensitive information with discretion and maintain confidentiality.
- Support special projects and initiatives as directed by the Director.
- Support the analysis of retail inventory.
- Must be able to work flexible work hours.
- Must be flexible to travel overseas for business purposes

EDUCATION & EXPERIENCE
- Qualification and Experience Requirements Bachelor’s Degree in Management, Finance, Economics, Accounting, or a related field is required.
- 5+ years' experience in a similar role, composing requirement specifications for information systems.
- Experience in the IT/Tech industry would be an asset
- Strong analytical skills with the ability to critically evaluate information gathered from multiple sources.
- Excellent communication and interpersonal skills.
- Familiarity with agile methodologies and project management practices.
- Experience with business process modelling and analysis tools.
- Knowledge of data analysis techniques and tools.
