Job Purpose:
The Human Resource Assistant is responsible for a wide range of support activities within the department's core functions, from recruitment, training & development, performance management, compensation, and employee relations, as well as assisting in creating policies, processes, and documents. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions while providing a high level of confidentiality
Duties & Responsibilities but not limited to:
- Maintain proper records for weekly paid employees’ attendance and leaves
- Maintain employee databases for onboarding and offboarding employees
- Assist with employee data management and reporting
- Assist the HR Officer in policy formulation and documentation
- Assist with job postings, shortlisting candidates, scheduling interviews
- Conduct background and reference checks on potential new hires
- Assist with interviews for junior-level positions
- Assist with Payroll preparation by providing relevant data for absences, leaves, overtime, etc.
- Coordinate orientation and training sessions for new employees
- Provide clerical and administrative support to the Human Resource Officer
- Performing file audits to ensure that all required employee documentation is collected and maintained
- Ensure smooth communication with employees and timely resolution to their queries
- Assist with the handling of complaints and grievance procedures.
- Assist in processing documentation and preparing reports relating to staffing, recruitment, training, disciplinary meetings, grievances, performance evaluations, etc.
- Assist with the preparation of disciplinary letters as needed
Requirements
- A higher diploma and/or associate degree in Human Resource Management or Business Administration
- A minimum of three (3) experience in a similar position
- Certification in Industrial Relations will be an asset
- Ability to adhere to deadlines for assigned tasks
- Excellent verbal and written communication skills
- Must be detail-oriented
- Must possess strong interpersonal skills
- Excellent organizational and time-management abilities
- Sound problem-solving and decision-making skills
- Must have strong ethics and be reliable
