POSITION TITLE: Commercial Support Representative

POSITION REPORTS TO: Commercial Support Supervisor

POSITION SUPERVISE: None

OTHER REPORTING LINES: Group Commercial Director

DEPARTMENT: Commercial Support

Job Summary:
 The Commercial Support Representative is responsible for the accuracy of all shipping documents before shipments arrive at destination.

CORE RESPONSIBILITIES AND PERFORMANCE STANDARDS
  • Vet documents received by Ann Marie or Agents (BL, NOA, Caricom/Commercial invoices, charges to invoice as per documents) Weekly/per shipment As required
  • Generate Tax invoices for customers at a minimum of 4 days prior to vessel’s ETA. Pass to Manager for approval and signing (4 days prior to vessel arrival) As required
  • For USA Shipments, Upload Tax Invoice in Momentum. Send out arrival notice to consignee’s. Non USA shipments, scan and email to customer As required/per shipment
  • Sends notice of arrival to customers at a minimum of 4 days prior to vessel’s ETA and pass documents for Brokerage/PTR customers. As required
  • Email documents to Brokerage department for customers requesting Brokerage facility, keep customer and Brokerage in email copy 4 days prior to vessel arrival 
  • Interacts with customers and vendors to resolve any issues that have arisen to immediately close case. As required
  • Upon receiving line arrival notice, 1. Check docs with house docs 2. send riders for POS shipment. 3. Immediately prepare payment vouchers for carrier As required
  • Inputs information on the Asycuda system at a minimum of 24 hrs prior to vessel arrival. As required
  • Fills in for other members of staff from time to time. As required
  • Assist with Front desk duties as needed. As required
  • Performs any other duties assigned from time to time As required
  • Pass Delivery PTR once the Master BL, received by the line (vet the documents also revise vessel/voyage on the MBL). Per LCL shipment/immediately upon receipt
  • Complete Asycuda (validate & agent release shipment) once Asycuda details are received from Line agent Per shipment/ same day on receipt
  • Pass delivery received from Line agent to Brokerage immediately Per shipment/same day
  • Physically put the deliveries together (write up) & place in long run dip for the courier to take to the warehouse Per LCL /Full shipment
  • Send delivery notice to consignees (Once courier delivers) Per LCL shipment
  • Update consignees of any delays Immediate Once tallies are received from Bond with any discrepancies complete Amendment urgently and keep client advised of progress As required, per shipment
  • Send unstuffing notice once unstuffed Per LCL shipment
  • Bills customer for in and out/freight or Inland/Custom charges for cargo moving out of Miami warehouse to other islands Via Skybox. As required
  • Liaises constantly with Agents and Customers to ensure effective customer service Daily
  • All of the above must be done in a manner that is upholding the company’s HSE policies and practices and to ensure the work environment is healthy and safe Daily

HSE ROLES AND RESPONSIBILITIES
ISL HSE Responsibilities:
  • Conduct work in a safe manner complying with ISL policies, standards and procedures.
  • Report all incidents immediately to their supervisor.
  • Participate in HSE meetings, toolbox talks and all HSE initiatives of ISL. 
  • Identify and report all unsafe acts and conditions present in their operations to their supervisor.
  • Understands the right to stop work, the work of other employees or the work of third-party employees where there is an unacceptable risk.
OSH Act Responsibilities:
  • To take reasonable care for the safety and health of himself and of other persons who may be affected by his acts or omissions at work.
  • As regards any duty or requirement imposed on his employer to co-operate with him so far as necessary to ensure that that duty or requirement is performed or complied with.
  • To report to his employer, any contravention under this Act or any Regulations made there under, the existence of which he knows.
  • To correctly use the personal protective clothing or devices provided for his use.

EDUCATION & KNOWLEDGE:
  • 5 CXC subjects or equivalent experience in similar field
  • Knowledge of Shipping terms and documents.
