Main Objective of Job
The Personal Assistant will provide high-level administrative and personal support to the Chambers. This role requires exceptional organizational skills, keen diligence, and the ability to manage multiple tasks efficiently. The Personal Assistant will oversee scheduling of all Court and multiple calendars, correspondence, filing of documents, travel arrangements, health insurance claims management, scheduling of meetings and appointments, managing payment of Chambers bills and typing of documents.
Key Duties and Responsibilities
- Manages multiple calendars, schedules meetings, sends reminders, and ensures there are no scheduling conflicts.
- Handles incoming and outgoing emails, mail, and messages, prioritizing urgent matters and drafting responses when required.
- Follows up on action items, books and manages both domestic and international travel, including flights, hotels, transportation, and itinerary planning.
- Coordinates attendance at events, responds to invitations or queries, and ensures all logistics are handled.
- Maintains files, tracks deadlines, and ensures records are up to date.
- Assists with managing expenses.
- Handles sensitive information with professionalism, ensuring confidentiality and discretion.
- Provides general administrative support and adapts to evolving priorities as required including typing of documents.

Relationships
- Internal: All members of Chambers.
- External: Suppliers, Vendors, Consultants, Industry Bodies and Association Representatives, Government and Accreditation Bodies, Event Coordinators, Travel Agents.
Qualifications and Skills
- Minimum of (4) years’ experience as a Personal Assistant, Executive Assistant or similar role, supporting teams in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
