REPORTS TO: HUMAN RESOURCE OFFICER
Job purpose
The primary responsibilities of Customer Care Support are to answer and direct incoming calls to Value Optical and perform general administrative duties to professional and courteous standards. The incumbent will act as an intermediary, supporting communication between VOL's Administrative Office, its internal offices, and external customers.
Duties and responsibilities
- Answers and directs all incoming telephone calls to the appropriate staff or departments, between the Administrative Office, internal departments, and retail stores, maintaining a high level of professionalism and courtesy.
- Provide customer care support on the 800-2020 line. This will include booking Value Optical patient appointments in Maxim Eyes.
- Accurately records and transmits caller messages to the relevant persons and departments, as required.
- Receives, sorts, screens incoming mail and distributes to the relevant individuals and departments.
- Performs general administrative duties, as assigned.
- Any other duties as assigned by the Human Resource Officer of Value Optical Limited.
Key Performance Indicators
- Promptness in answering multi-line telephone line system in a warm and professional manner and direct incoming calls to the relevant staff. -Answer all incoming calls by the second ring.
- Answer phone to be checked 3 times daily and messages promptly disseminated to relevant staff/department.
- Accurate entry of patient records and appointments in Maxim Eyes.
Qualifications
- Minimum of two (2) years' experience as an administrative assistant OR two (2) years' experience in an office environment with exposure to broad administration duties
- Post-secondary education in a related field
- General proficiency in the use of computers and comprehensive skills in MS Office suite (Word, Excel, PowerPoint and Outlook)
- Proficiency in the use of general office equipment
- Excellent ability to communicate verbally and in writing
- Exceptional interpersonal skills, proven ability to work collaboratively as part of a team

- Ability to discreetly handle sensitive and confidential information
