 JOB TITLE: DOCUMENTS CLERK
 
PURPOSE OF THE JOB      
Responsible for providing administrative support to the Logistics Department. This includes coordinating shipments, tracking orders, communicating with customers, suppliers and other related parties. The ideal candidate must have excellent communication and organizational skills, be detail oriented and have a strong knowledge of the logistics industry. The Documents Clerk must also be able to work independently and as part of a team.
 
KEY ACCOUNTABILITIES
Imports
  • Liaise with customers and/or distributors for updates on shipment and advise the team accordingly. 
  • Manage licenses and draw-downs of raw materials to customs.
  • Liaise with warehouse department for updates on all imports emptied and/or received.   
 
Exports
  • Liaise with warehouse for documentation on completed containers. 
  • Experience in preparing Shipping & Logistics documents e.g. CARICOM Invoices & CARICOM certificates. 
  • Follow up with customers and/or distributors for payment on containers. 
  • Preparing invoices and necessary shipping documentation as required.
  • Coordinating transportation providers to ensure prompt and proper movement of containers.
  • Liaising with shipping agencies for booking of shipments.
 
 Other
  • Liaise with custom brokers to ensure swift processing of incoming/outgoing shipments. 
  • Prepare invoices and review purchase orders / shipping documents to ensure accuracy.
  • Tracking and fixing shipping errors.
  • Assist in developing processes that make the supply chain more efficient and organized.
  • Distribute, file and maintain proper records of all shipments.
  • Any other duties that may be assigned from time to time.
 
TECHNICAL COMPETENCIES
  • Tertiary Education in Supply Chain or Business Management an asset
  • Minimum 5 CSEC Subjects – Mathematics & English mandatory.
  • Minimum two (2) years relevant work experience in Logistics documentation.
  • Proficiency with MS Suite (Word, Excel, PowerPoint etc)
  • Strong organizational and multitasking skills.
  • Attention to detail and accuracy
