Job Summary

The Boarding Clerk serves as the first point of contact for vessels entering and leaving Trinidadian ports. This role ensures that all statutory requirements, formalities, and declarations are met within specified deadlines. Responsibilities include boarding, clearance, document preparation, coordination with key authorities and stakeholders, and overall execution of vessel operations.

Reports To: Customs Manager

Location: Various Ports in Trinidad

Schedule: Sunday to Friday (rotating day off)

Availability: Must be available for day, night, weekend, and holiday shifts

Job Duties/Responsibilities

  • Coordinate vessel movements and communicate updates to customers, Port Authority, Customs, Immigration, Maritime Services, Coast Guard, Health Authorities, and other stakeholders.
  • Ensure timely submission of local statutory reports.
  • Perform boarding and clearance of vessels.
  • Supervise vessel arrival/departure activities and cargo operations across various ports.
  • Prepare and submit boarding documents in advance of vessel arrival.
  • Update internal and external systems with accurate vessel activity data.
  • Maintain organized records and support filing systems in collaboration with administrative staff.
  • Provide exceptional customer service to internal and external stakeholders.
  • Monitor all communications and coordinate responses and reports within deadlines.
  • Identify and report potential risks or compliance issues to management promptly.
  • Perform additional administrative or operational duties as directed by management.

Job Requirements/Skills

  • Apprentice Boarding Clerk or Boarding Clerk License
  • 3–5 years’ experience in the shipping industry
  • Proficient in Microsoft Office Suite
  • Familiarity with ASYCUDA and other relevant software systems
  • Valid driver’s license
  • Valid Police Certificate of Good Character
  • Spanish fluency would be an asset
  • Should be able to work independently and collaboratively in a fast-paced, diverse environment

Working Conditions

  • Must be flexible and available to work 24/7/365 based on port schedules
  • Frequent travel to vessels required throughout their stay in port
