We are seeking a highly organized and proactive Operations & Commercial Coordinator to support the delivery of integrated facility management services at a major industrial energy facility.

This role is ideal for someone who thrives in a fast-paced environment and can effectively coordinate administrative, commercial, operational and financial activities while working closely with both internal teams and the client.

 

Key Responsibilities

Coordinate client service requests from initiation through completion.

Prepare quotations, cost estimates and supporting documentation for client approval.

Manage work order and purchase order administration.

Coordinate third-party vendors and subcontractors, including obtaining quotations and processing purchase orders.

Support procurement activities and ensure timely delivery of materials and services.

Coordinate invoicing, cost tracking and commercial reporting.

Maintain project cost summaries and monitor the status of quotations, purchase orders and completed works.

Prepare monthly operational and commercial reports for management.

Support payroll administration, including timesheet verification and contractor payroll coordination.

Maintain employee onboarding records, training certificates, medicals and compliance documentation.

Coordinate recruitment and onboarding activities for new personnel.

Manage inventory of office supplies, PPE, tools and consumables.

Coordinate servicing and compliance requirements for company vehicles, tools and equipment.

Support operational teams to ensure efficient execution of maintenance and facility management activities.

Develop and improve administrative processes to enhance operational efficiency.

Liaise regularly with internal departments, contractors and client representatives to ensure timely delivery of services.

 

 

Qualifications & Experience

Diploma or Degree in Business Administration, Operations Management, Project Management or a related discipline.

Minimum of 3–5 years’ experience in an operations coordination, contract administration or commercial support role.

Minimum 3 years in a supervisory capacity

Experience supporting operations within the energy, industrial, construction or facilities management sectors would be an asset.

Strong proficiency in Microsoft Excel, including reporting, spreadsheets, CMMS and data analysis.

Experience with procurement, invoicing and cost tracking.

Excellent written and verbal communication skills.

Strong planning, organization and multitasking abilities.

Ability to manage multiple priorities while meeting strict deadlines.

High level of professionalism, attention to detail and confidentiality

Will be required to attain PLEA, OEUK and Police Certificate of Character
