Position Summary

We are seeking a detail-oriented, highly organized Operations Coordinator to join our team permanently. In this role, you will act as a central pillar for our daily workflow, coordinating between our distribution, technical, and administrative departments.

The ideal candidate excels at process optimization, inventory and resource tracking, scheduling, and ensuring that our supply chain, retail outlets, and technical operations run smoothly, accurately, and in compliance with healthcare industry standards.

 Key Responsibilities
  1. Workflow & Schedule Management: Coordinate daily operational schedules for distribution teams, field technical staff, and service delivery logistics to ensure seamless execution across local and regional accounts.

  2. Inventory & Supply Chain Coordination: Monitor stock movements, track medical equipment/supplies, and support inventory controls across our distribution department and retail outlets to prevent stockouts and manage turnaround times.

  3. Administrative & Document Control: Maintain accurate operational logs, compliance records, and inventory tracking sheets, ensuring all documentation aligns with strict quality assurance standards.

  4. Cross-Functional Communication: Act as the primary communication bridge between sales, technical teams, warehouse logistics, and management to resolve operational bottlenecks promptly.

  5. Procurement & Vendor Support: Assist with processing purchase orders, coordinating supplier deliveries, tracking shipments, and maintaining structured vendor files.

  6. Quality Assurance & Compliance: Ensure that all operational and handling procedures adhere to company safety guidelines, regulatory requirements, and health sector standards.

Job Requirements & Qualifications

  1. Education: A Diploma or Bachelor’s degree in Business Administration, Operations Management, Supply Chain Management, Logistics, or a related field.

  2. Experience: Minimum 2 to 3 years of proven experience in an operations coordination, inventory management, or supply chain administration role (experience within a medical, pharmaceutical, or distribution environment is a distinct advantage).

  3. Technical Skills: Proficiency in Microsoft Office Suite (advanced Excel capabilities are essential), digital inventory tracking software, and ERP/CRM systems.

  4. Core Competencies: Exceptional organizational, multitasking, and time-management skills; strong problem-solving abilities under pressure; clear and professional verbal and written communication.
