POSITION SUMMARY
To ensure the timely and accurate processing of all payrolls through the effective supervision of the Payroll Team. This includes all auxiliary payroll actions, e.g. accurate payments to all Statutory Boards.
SUPERVISORY RESPONSIBILITY
RESPONSIBILITES
1. Prepare and process monthly payroll and its auxiliary actions.
2. Supervise the Payroll Team, which includes but not limited to, processing of fortnightly payroll and its auxiliary actions, proper delegation and promotion of teamwork; team training and development and performance management.
3. Ensure proper analyses of the payrolls made by the different units and prepare monthly gross salaries reconciliation for submission with payroll summaries and reports for approval.
4. Regularly review the payroll system to ensure continued compliance with policies and local law and ensure appropriate controls are in place.
5. Review the payroll processes and procedures to ensure optimization, as well as prepare proposals for improvements where required, and ensure successful implementation.
6. Provide all payroll entries for entry into the General Ledger.
7. Prepare vouchers and computerized statements of net wages.
8. Ensure timely submissions of all statutory deductions to the relevant authorities.
9. Prepare monthly PAYE reconciliation for annual TD4 preparation for all employees.
10. Prepare annual TD4s for all employees and submit the Summary Report to the Board of Inland Revenue (BIR).
11. Prepare annual salary reports of monthly paid employees for HR for annual salary reviews.
12. Collate salary information for compensation surveys when required.
13. Assist employees with payroll and statutory deduction queries as required.
14. Prepares periodic / ad hoc reports as required.
15. Prepare monthly vacation accrual report.
16. Execute all relevant responsibilities as outlined in the Roles, Responsibilities and Authorities Matrix (MT-GM-004) to ensure compliance with the Integrated Management System (IMS).
17. Perform any other related duties that may be assigned.
EDUCATION & TRAINING
A minimum of 5 O’Level / CSEC passes including Mathematics and English Language (I & II)
Tertiary level Diploma / Certificate in Accounting or any other related discipline e.g. CAT
EXPERIENCE
A minimum of five (5) years’ experience in Payroll Administration, Accounting or other similar function with at least two (2) in a Supervisory role.
Demonstrated knowledge of National Insurance Scheme, PAYE and Health Surcharge.
Working knowledge of a payroll software.
