PURPOSE OF THE JOB
The Procurement Officer is responsible for sourcing, negotiating and acquiring goods and services required for the manufacturing operations. This role ensures cost-effective purchasing, timely delivery and adherence to quality standards while maintaining strong supplier relationships. This role collaborates closely with production, quality, warehouse and finance teams to support uninterrupted manufacturing operations.
KEY ACCOUNTABILITIES
Sourcing & Supplier Management:
• Identify, evaluate and qualify new suppliers to ensure a competitive and reliable supplier base.
• Maintain strong relationships with existing suppliers and monitor performance metrics such as quality, lead times, reliability and cost-effectiveness.
Procurement Management:
• Prepare and issue requisitions, requests for quotations (RFQs) and purchase orders accurately and timely.
• Negotiate prices, delivery schedules and terms of payment to achieve cost savings and value for the company.
• Ensure all purchased materials meet the company’s quality specifications and standards.
• Oversee the execution of third-party purchases, ensuring timely delivery and compliance with company requirements.
• Ensure the expiry dates on raw materials being purchased is within the required time frame (6 months >)
Inventory & Materials Management:
• Collaborate with warehouse, production and planning teams to monitor inventory levels and forecast material requirements.
• Implement strategies to minimize stock-outs, reduce excess inventory and optimize working capital.
• Track delivery schedules and resolve delays or discrepancies proactively.
Documentation & Compliance:
• Maintain accurate and up-to-date procurement records, contracts and supplier databases.
• Ensure compliance with internal procurement policies, local laws, international trade regulations (for imported materials) and ethical standards.
• Prepare procurement reports, cost analysis and supplier performance evaluations for management review.
Cost Control & Process Improvement:
• Analyze market trends and industry developments to identify cost-saving opportunities and alternative sourcing strategies.
• Implement best practices in procurement processes to improve efficiency, transparency, and accountability.
• Assist in budget planning and monitor expenditures against allocated procurement budgets.
• Any other duties that may be assigned from time to time.
TECHNICAL COMPETENCIES
• Certification in Procurement or Supply Chain
• 3 years procurement experience in a manufacturing environment
• Strong knowledge of procurement principles, sourcing strategies and contract management.
• Excellent negotiation, communication and interpersonal skills.
• Proficiency in Microsoft Office Suite and any Enterprise Resource Planning (ERP) system
• Detail oriented with strong negotiating skills.
• A good team player with strong interpersonal skills.
• Ability to work independently and effectively within strict timelines.
• Excellent oral and written communication skills.
