Description of Service & Sales Coordinator:
The Service & Sales Coordinator manages the schedules and day-to-day operations of all the Technical Service Personnel. He/She must handle a small group of personnel professionally. The work environment is fast-paced and the coordinator will need to be able to make quick and sound decisions. Sales inquiries will be dealt with quickly and professionally, and there is to be follow up on quotes sent.  The coordinator is responsible for working with our clients to provide long-term and short-term forecasting within the department.

Responsibilities of Service Coordinator:

  • Coordinates the technical and logistic support for Technical Service Personnel.
  • Plans, schedules, and tracks Service Technicians for day-to-day operations.
  • Helps plan larger projects at the Company.
  • Active participant in field service operations and on-call rotation.
  • Tracks and organizes training, drug tests, orientation and PLEA passports for Service Technicians.
  • Serves as the initial point of contact for Technical Service Personnel to supply technical expertise and/or obtain engineering support.
  • Assists with logistics, including travel for Technical Service Personnel.
  • Schedules and coordinates Technical Service Personnel by providing long and short-range forecasting to ensure the best match of individual capabilities.
  • Reviews each Field Service Report to ensure all required documents are included, filled out completely and accurately, and filed properly for future reference.
  • In-house sales.  Take calls, speak with clients, prepare quotes for standard products and issue to clients in a timely manner.  Active follow up would also be required to close these sales.
  • Tracks vehicles and reports any issues to Manager.

Description of Projects responsibilities:
The Service Coordinator is responsible for assisting the Operations Manager with specific administrative tasks, ensuring the schedule, budget and details of a given task are well organized for larger projects. They will organize and communicate all the details of projects and specific assignments to team members and serve as a liaison between those team members and the Operations Manager. In addition, they organize reporting, plan meetings and provide updates to the Operations Manager.

Responsibilities in Projects:

  • Monitoring the daily progress of projects.
  • Assist in producing worksheets and quotations for various projects, and follow up.
  • Liaise with various suppliers for pricing and delivery times for special order items.
  • Provide detailed updates to the Operations Manager.
  • Ensuring team members have the supplies and resources they need to complete their assigned tasks on time and within their budget limits.
  • Organizing reports, invoices, contracts, and other financial files for easy access.
  • Planning meetings and organizing project logistics.


    Qualifications & Key Requirements

    • Minimum of five (5) CXC subjects, including Mathematics and English, with additional passes in Science subjects considered an asset.

    • Prior customer service experience is highly valued; however, strong emphasis will be placed on relevant hands-on experience, attitude, and work ethic.

    • Must demonstrate a pleasant, professional, and approachable demeanor when interacting with customers.

    • Ability to coordinate and organize service-related tasks, including supporting or guiding members of the service team when required.

    • Strong communication, interpersonal, and organizational skills are essential.
