Job Purpose
The Accounts Clerk/ Optical Assistant’s main responsibilities include all sales receipts at the branch, daily reporting, updating of patient information on the Practice Management software and also consistently maintain a positive, professional interaction with all stakeholders. They will also act as a custodian for deposits and receipts, at all times.

The Accounts Clerk/Optical Assistant will also support the branch team by providing Customer Service support and information to patients, as required.

Duties and Responsibilities
The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of this position. Functions may change from time to time, as necessary to ensure the efficiency of the unit operations and to maintain a productive workday.

DAILY Tasks and Responsibilities:
  • Verify cash in till and petty cash in dual custody with Branch Administrator/ Opening Supervisor.
  • Submit request for store change if needed, using the form provided by the Accounting Department with the requested denominations. Once completed this is submitted by email to the group “Cash Deposit”.
  • Prepare forms to be used for the day’s transactions, i.e. Cashier’s Report, Frame Removal Form etc.
  • While processing patient transactions, verify the patient’s information in Maxim Eyes for accuracy, process the transaction and generate an invoice.  
  • Collect all payments from patients (cash, cheques, Republic Bank Bonus Points Vouchers, credit and debit cards) and provide accurate change.
  • Prepare the “Sales Analysis Sheet” on MS Excel spreadsheet for all orders and invoices generated for the day.
  • Prepare bank deposits for the day as follows:
  • Ensure proper filing of the various forms required for the branch’s Accounting functions.
  • Maintain machines in the branch’s Accounting office.
  • Prepare credit documents to be sent to the Accounting Department, Administrative Office for collection of all outstanding balances, i.e., credit extended to companies. This is completed when the patient collects their job.
  • Prepare and/or assist with preparation of branch reports as requested.
  • Answer the telephone in a prompt and professional manner providing correct information or referring when required.
  • Promotes Value Optical Limited consistently as the premier choice for eye examinations; spectacles, contact lenses fittings and all other optical needs
  • Acts promptly in greeting all customers; asks appropriate questions to ascertain customer needs and acts in accordance with the Company’s policy to ensure that all customer needs are met
  • Assists customers with the selection of frames by offering commentary on styles and colours; coordinating frames with facial and eye measurements and optical prescriptions.
  • Responds to incoming customer calls and/or escalate to Branch Administrator for follow-up and or resolution in a timely manner, when necessary.
  • Participates in all training and educational activities necessary to fulfil at least the minimum requirements as specified within your departmental goals. This is in addition to the completion of any activities necessary for the maintenance of professional affiliations or organizational requirements.
  • Any other related duties as assigned by the Branch Administrator or designated representative.
 
Qualifications
  • Five (5) CSEC passes inclusive of Mathematics and English
  • Proficient in the use of MS Office Suite/ Office 365
  • Previous experience in a similar role, particularly in a fast paced, customer-driven environment will be an asset.
