Position Title: Stores Analyst

Department: Logistics

Reports To: Stores Supervisor

Division Head: Director - Operations
 
POSITION SUMMARY
Responsible for planning, scheduling, controlling and optimizing the replenishment of spare parts/items for the General Stores Warehouse.

RESPONSIBILITES
  1. Analyse warehouse inventory through the Stores Replenishment Macro to identify items requiring stock replenishment.
  2. Develop requisitions to replenish the aforementioned items based on EAM min/max and usage.
  3. Separate requisitions according to consumables, critical spares/zero stock and items requiring prioritization from end-users.
  4. Update the Requisition Prioritization Sheet to include newly developed requisitions; ensure information for the existing requisitions on the Requisition Prioritization Sheet reflect up-to-date information to guide end-users with their prioritizations.
  5. Maintain regular communication with end-users to ensure the provision of an optimal and timely service.
  6. Review Control IDs min/max according to consumption history and inquire about changes with Maintenance team; suggest opportunities based on data for changes to stock levels.
  7. Update spare parts master sheet to include alternate part IDs, warehouse locations, descriptions, unit of measurement, min/max, asset G/L, expense G/L etc.
  8. Organize the EAM data, verifying that item descriptions have consistent structure.
  9. Ensure obsolete items are not re-ordered unless justified to re-stock by end-users based on usage and criticality to operations.
  10. Ensure Personal Protective Equipment inventory in the Stores General Warehouse are balanced and sufficient.
  11. Issue PPE Forms from PPE Management System upon issuance of item to end-users.
  12. Ensure to check warranty of safety shoes requiring replacement for all employees.
  13. Create requisitions for safety shoe requests, in consultation with the HSS Department.
  14. File PPE Forms in numerical order based on PPE Form Number.
  15. Review the PPE Management System against EAM to ensure inventories match.
  16. Create the Control ID for the spare part/item to be stocked in the General Stores Warehouse in accordance with the Company’s control ID coding structure.
  17. Generate the requisition for the newly added spare part/item based on maximum quantity suggested by the end-user, unless otherwise instructed.
  18. Number the Master Parts Maintenance Form, log on the Stores Master Parts Spreadsheet and file accordingly.
  19. Investigate all variances to the Stores General Warehouse inventory to validate them and include suggestions for preventive actions.
  20. Ensure execution of corrective actions by either updating ID locations, tags or the EAM system.
  21. Ensure good housekeeping within the Department; workstation is clean and orderly, and all Company’s property is properly secured and preserved.
  22. Comply with the 5S program and the Stores Housekeeping Procedure.
  23. Discard rubbish, crates, cautions, wraps daily and blowdown Stores weekly for GBP and
    bi-annually for TTL.
  24. Adhere to, actively promote and ensure compliance with the Company’s Health and Safety Policies.
  25. Identify and report unsafe operations, conditions and/or practices immediately to your Manager; operate in a safe manner, use Personal Protective Equipment (PPE) when required.  Also ensure visitors to the plant adhere to the relevant Health and Safety protocols.
  26. Execute all relevant responsibilities as outlined in the Roles, Responsibilities and Authorities Matrix (MT-GM-004) to ensure compliance with the Integrated Management System (IMS). 
  27. Perform any other related duties that may be assigned.
 
EDUCATION & TRAINING
  • A minimum of five (5) O’Level / CSEC passes including Mathematics and English
  • Tertiary level Diploma / Certificate in Inventory Management or any other related discipline from a recognized institution.
  • A valid Forklift Operator’s License will be an asset

EXPERIENCE
  • A minimum of three (3) years’ experience in Stores or Inventory Management, preferably in a manufacturing environment.
  • Working knowledge of Inventory Management software.
  • Knowledge of machinery and equipment parts will be an asset.
  • Knowledge of 5S and HSSE will be an asset.
