JOB DESCRIPTION                      

Position Title:
Operations Manager

Location: St Augustine

Number of positions Supervised: 3

DEPARTMENT OBJECTIVES:
To attend to all administrative functions of the Institution including maintenance of the premises and overall operations in a cost effective manner.

ROLE OF POSITION:
To oversee and manage the daily operations of the facility through the development and implementation of systems and procedures, in collaboration with the Administrator, that will ensure its smooth running.

MAIN RESPONSIBILITIES and % Impact:
  1. To receive, screen and forward telephone calls and relay messages promptly, exercising a high degree of tact, courtesy and diplomacy at all times and to check and action emails daily and on a timely basis; and to open, receive, process and action promptly, all incoming mail, responding to correspondence on behalf of the Administrator, where applicable. 
  2. To attend to all banking/financial transactions in support of the facilities’ administrative affairs – preparation of all accounting ledger entries and financial statements, payment of staff salaries – and the management of the Institution’s Account. 
  3. To effectively market and manage the bookings and assist in the planning and implementation of events for the facility such as Conferences, Retreats, Workshops, other. 
  4. To oversee the general maintenance and upkeep of the facility ensuring that necessary renovations are effected and completed within budgetary and other guidelines. 
  5. To supervise the ancillary staff of the department, ensuring that the necessary guidance, advice and support are given to ensure that all areas perform effectively and that there is in place :
    • Adequate tools to perform their function
    • Up-to-date Job Descriptions
    • Effective Performance Management
    • Effective Communication and fostering of a high level of morale
  6. To attend to any other matters that may arise to ensure the optimal running of the facility. 5%
 
JOB REQUIREMENTS:
  • Educational Qualifications: BSc. Business Administration or related discipline
  • Training: Customer Service, Performance Review Management, Conflict Management
  • Technical Skills: Computer Literate – Proficient in the use of Microsoft Office (Word, Excel, etc.)
  • Non-Technical Skills:
    • High degree of Confidentiality
    • Excellent Oral and Written Communication skills
    • Strong Interpersonal and Relationship-building Skills
    • Excellent Time-Management skills
    • Ability to prioritize work schedule and exercise Flexibility
    • Strong Planning and Organizational skills
    • Attention to detail and Problem-Solving skills; Solution-Oriented
    • Analytical; Good Negotiating and Decision-Making skills
    • Assertive; Tactful; Diplomatic
  • Experience: At least five (5) years’ experience in a similar/supervisory field would be an asset
