Position: Veterinary Office Manager

Location: Two Veterinary Clinics (Medium Size, Includes Pharmacy)

Reports to: Practice Owner / Directors
 
Overview:
The Veterinary Office Manager will oversee the administrative operations of two medium-sized veterinary clinics with a combined team of 23-25 employees. This position plays a vital role in ensuring the clinics run smoothly, efficiently, and in compliance with industry regulations. The role involves managing daily operations, staff coordination, client satisfaction, and overseeing the in-house pharmacy.
 
Key Responsibilities:
1. Administrative Management:
  • Supervise day-to-day administrative operations across both clinics.
  • Develop and implement standard operating procedures (SOPs) to enhance efficiency.
  • Develop and implement employee manuals and policies
  • Ensure compliance with local regulations, including HSE, veterinary, and pharmaceutical standards.
  • Manage the scheduling of appointments, surgeries, and staff shifts to optimize workflow.
  • Oversee inventory management, including medical supplies, pharmacy stock, and office supplies.
  • Oversee accounts department, processes, reports and audits.
  • Reporting to Directors at monthly meetings
  • Creating Strategy and goals against industry benchmarks
2. Staff Coordination:
  • Directly supervise administrative staff, receptionists, and other non-clinical team members.
  • Collaborate with the veterinary team to ensure alignment of goals and efficient operations.
  • Assist in recruitment, onboarding, and training of new employees.
  • Managing Employee contracts, probation evaluations and records
  • Administration of Vacation
  • Oversight of monthly and annual performance evaluations
  • Handle employee timekeeping, payroll coordination, and attendance records.
  • Mediate and resolve minor staff conflicts or escalate as necessary.
3. Financial Oversight:
  • Monitor clinic budgets and expenses; provide reports to management.
  • Oversee annual audits, statutory payments and taxes
  • Ensure accurate billing, invoicing, and payment processing.
  • Oversee accounts receivable, including following up on outstanding payments.
  • Negotiate vendor contracts for supplies and services.
4. Client Relations:
  • Foster excellent client service by training and mentoring front desk staff.
  • Address and resolve client complaints or concerns in a timely, professional manner.
  • Monitor and improve client retention and satisfaction metrics.
5. Pharmacy Management:
  • Ensure the in-house pharmacy complies with veterinary and pharmaceutical regulations.
  • Manage inventory levels to prevent shortages or overstock.
  • Train staff on proper handling, storage, and documentation of pharmaceuticals.
  • Conduct regular audits of pharmacy inventory and records.
6. Marketing and Communications:
  • Coordinate marketing efforts, including social media, newsletters, and promotional events.
  • Monitor online reviews and respond to client feedback to maintain a positive public image.
  • Collaborate with the practice owner to develop strategies for growth and client acquisition.
 
Qualifications:
  • Education: Bachelor’s degree in business administration, healthcare management, or a related field (preferred) or equivalent experience. ACCA Level 2 or 5 years’ experience in accounts and finance management.
  • Experience: Minimum 3 years of management experience, preferably in a healthcare.
  • Knowledge of veterinary operations, including pharmacy and client services, is highly desirable.
  • Strong organizational, leadership, and interpersonal skills.
  • Proficiency in practice management software (e.g., Cornerstone, AVImark) and Microsoft Office Suite.
  • Proficiency in Accounting software, peach tree preferably

Work Conditions:
