Trinidad Generation Unlimited (TGU) manages a major fuel-efficient power plant in Trinidad and Tobago. The 720-megawatt (MW) TGU facility is a combined-cycle power plant which is owned by the National Investment Fund Holding Company Limited (NIFHCL), the latter is a wholly owned entity of the Government of the Republic of Trinidad and Tobago (GoRTT). The plant is located at the Union Industrial Estate, La Brea and supported by a Corporate Office in Chaguanas.

The Administrative Assistant to the Company Secretary provides essential administrative support by assisting with the maintenance of statutory records, minutes of Board of Directors meetings and the register of Board decisions. The incumbent must possess in-depth knowledge of modern business administration procedures, confidentiality requirements and protocols relevant to the Company Secretary function. The role plays a critical part in supporting the effective operation of the Company Secretary's Office.

Job Responsibilities

Support the Company Secretary in maintaining Board Records.

• Support the Company Secretary in tracking and submitting State Enterprise Performance Monitoring Manual (SEPMM) reports in accordance with established processes and stipulated deadlines.

• Support the Company Secretary in preparing Agendas and required documentation for Board, Committee and Annual Meetings.

• Assist the Company Secretary with planning, coordinating and facilitating Board, Board Committee and Annual Meetings, including scheduling, notifying attendees, meeting set-up, and managing pre- and post-meeting correspondences, in accordance with established standards and protocols.

• Attend meetings and take accurate, well-structured minutes in accordance with established standards.

• Support the Company Secretary in tracking the implementation of all Board and Board Committee Decisions.

• Conduct research and prepare a variety of reports and first draft documents as required.

• Maintain appointment schedules and calendars and provide reminders as appropriate.

• Manage communication with internal and external contacts as required.

• Receive and screen communications to the Company Secretary Office, including telephone calls and mails, and provide assistance using independent judgment to determine those requiring priority attention and respond to communications as appropriate.

 

• Perform special projects and other duties as assigned by the Company Secretary within the scope of the duties of the position.

 

Qualifications:

• Bachelor's Degree from a recognised institution: Business Management or any other related field.

• Paralegal Certificate from a recognised institution

• Professional Experience: 5-7 years' experience in Business Administration

• Experience working with Corporate/Company Secretaries will be an asset
