CORE FUNCTIONS- Includes, but is not limited to, the following:

Demand Planning

• Assist in developing short- to mid-term demand forecasts based on historical sales, market trends, and promotional inputs.

• Coordinate with Sales and Marketing to gather data on upcoming promotions, events, and regional demand shifts.

• Support the Sales & Operations Planning (S&OP) process by providing forecast data and participating in planning meetings.

• Monitor forecast accuracy and help identify gaps or variances for continuous improvement.

 

Inventory Management & Control

• Monitor inventory levels across all warehouses and branches to ensure product availability while minimizing overstock, stock-outs, or obsolescence.

• Maintain and update inventory control systems and records; support regular cycle counts and inventory audits.

• Rotate inventory (including raw materials) as necessary to maintain shelf life and avoid expiry or deterioration.

• Investigate and help resolve inventory discrepancies, damaged stock, and overstock issues in coordination with warehouse and procurement teams.

• Ensure all inventory areas (including stores and raw material storage) remain secured and locked at all times.

 

Receiving & Quality Assurance

• Receive and count incoming stock items; verify accuracy against purchase documentation.

• Check for quality and report any damaged, defective, or missing items immediately to the Warehouse Supervisor.

• Arrange prompt offloading of incoming shipments, particularly resin, and coordinate the timely return of empty containers.

 

Procurement & Stock Replenishment

• Ensure timely ordering and replenishment of raw materials and finished goods based on forecast data, sales projections, and current stock levels.

• Place and monitor blanket orders for key import items (e.g., Pentax, Orlando, State Water Heaters, Stiebel, Coelbo) and follow up regularly to ensure availability.

• Coordinate with Purchasing and Customs departments to track shipments, meet deadlines, and provide updates (including ETAs and delays) to Sales, Marketing, and Management.

 

Documentation & Compliance

• Ensure accurate completion of all related documents including Purchase Requisitions, Stock Transfer Notes, Inventory Sheets, Packing Lists, etc.

• Enforce strict adherence to company inventory and raw material issuance policies—no materials are to be issued without proper documentation.

• Support the preparation of inventory reports and metrics, including stock levels, days on hand, and inventory turnover, for management review.

 

Cross-Departmental Communication

• Ensure that up-to-date sales projections are obtained from both the Local and Export Sales teams to support purchasing decisions.

• Provide timely communication of stock status and procurement issues to all relevant departments.

 

Housekeeping, Safety & Support

• Keep all work areas clean, safe, and organized in accordance with health and safety guidelines.

• Attend departmental meetings as required and contribute to the implementation of plans and deadlines.

• Perform any other duties as assigned by the Directors or Warehouse Supervisor.

 

Cross-Functional Coordination

• Liaise with Production and Procurement teams to ensure alignment between forecasted demand and supply capabilities.

• Work with Logistics to coordinate stock transfers between locations and ensure timely distribution.

• Provide inventory-related data to Finance and other departments for budgeting and costing purposes.

• Assist in implementing inventory best practices and continuous improvement initiatives across the supply chain.

 

MINIMUM REQUIREMENTS

  • Bachelor’s Degree in Business Administration, Statistics, Supply Chain Management or related field combined with qualification and experience in Inventory Management.
  • At least three (3) years related experience
  • Must be proficient in Microsoft Office Suite and using the internet and emails
  • Must be proficient in using SAGE, Stonefield Query and Excel
  • Must possess strong analytical and forecasting skills
  • Must possess excellent interpersonal/communication skills
  • Must be detail oriented with strong organizational skills
  • Must be able to work in a fast-paced environment
  • Must be able to work on Saturdays, as needed
  • Police Certificate of Character (not more than 6 months old)
  • Experience in the manufacturing industry would be an asset
