JOB OVERVIEW:
The Records Management Assistant must classify, code, verify, data enter, retrieve, preserve and purge incoming and existing records, by following organization and process guidelines, with the objective of facilitating the accessibility of company records. He/She must also administer over electronic records via M-Files software.
JOB RESPONSIBILITIES:
1.Database administration
• Prepare, log, update and maintain the Database for:
• Receipt books
• New applications
• Correspondence
2. Barcoding and Scanning
• Separating, classifying, sorting, verifying, amending, barcoding and scanning to be done upon request.
3. Retrieval and Verification
• Retrieving boxes stored offsite and onsite to provide information for Audit requests and customer service matters.
• Verification of incoming transmittals for accuracy and completeness.
4. Purging
• Purging of non-active files that have passed the retention period and shredding.
5. Vendor payments, ordering stationary and grocery supplies
• Facilitate payments to vendors.
• Place orders, maintain inventories, and distribute Items accordingly, as relates to the Records Management Department's stationery and grocery supplies.
EDUCATION AND EXPERIENCE:
• 5 CXC/ CSEC passes including Mathematics and English Language.
• 2 A’ level/ CAPE passes.
• LOMA 280, 290, ACS 100
• Minimum of 1 year Records Management/ Document control or in a similar capacity.
• Minimum of 1 year Scanning/Digital Imaging and database experience.
ADDITIONAL REQUIREMENT:
As a regulated entity with obligations under the Know Your Employee guidelines, a Certificate of Character is required.
PERSON SPECIFICATION:
The Records Management Assistant must be service oriented, honest, and confidential. The incumbent must be well organized, have excellent time management skills and be able to manage multiple tasks effectively and efficiently. He/ She must be reliable and possess unquestionable work ethics. The individual must also have excellent time management and team working skills. He/ she must be self- motivated and driven to find unconventional ways to make the job interesting as task may become routine.
