JOB PROFILE – ADMINISTRATIVE ASSISTANT (Temporary)

JOB PURPOSE:
The Administrative Assistant provides administrative support to the assigned department(s), in a team environment so as to ensure the achievement of the organisation’s objectives, while adhering to the company’s policies and procedures. The position is exposed to highly confidential information and will be expected to operate with strict confidentiality.

The jobholder operates in a high volume, fast paced, team environment and is a self-starter with capacity to independently deliver and adapt to a dynamic environment with varied workloads, schedules and deliverables. He/she must also ensure that all documentation and work processes are completed as per the priority given. Priority of work tasks will change pending operational urgency to reach completion. This role supports the Sustainability and Corporate Communications Department.

PRINCIPAL ACCOUNTABILITIES:
  • Provides support to the assigned department(s) by performing a wide variety of technical and administrative duties to ensure efficient delivery of service.
  • Ensures that all departmental documentation is appropriately stored and available for easy retrieval in accordance with good record management principles.
  • Administration of internal and external meetings, including preparation of documents such as PowerPoint presentations, Terms of Reference (TORs) and issuing of communication, maintenance of logs and minuting of proceedings as required.
  • Completion of due diligence to support payments and processing of payments in accordance with PSCM guidelines and principles. These include but are not limited to generation and receipting of PRs, and Invoices.

KNOWLEDGE AND EXPERIENCE:
  • An Associate degree, ABE Diploma or other equivalent qualification from a recognised accredited institution.
  • A minimum of three (3) years’ relevant working experience.
