JOB OVERVIEW:
The Corporate Services Assistant provides essential clerical, administrative, and operational support to the Corporate Services Department. This role is integral to the efficient management and maintenance of the company’s fleet and corporate service needs, ensuring smooth operations across the group. The Corporate Services Assistant will handle a variety of responsibilities, from managing vehicle-related processes to assisting with internal service requests and inventory control.


JOB RESPONSIBILITIES: 
  • Fleet Management Support:
    • Assist with coordinating the repair, maintenance, and overall management of company vehicles across the entire Group. Support the sale, settlement of insurance claims, transfers, and vehicle inspections.
  • Clerical and Financial Support:
    • Provide administrative support for vehicle-related tasks, including processing payments, balancing accounts, and preparing journals. Validate Petro Mart invoices and maintain accurate records for all vehicle-related transactions.
  • Lease and Purchase Assistance:
    • Assist in the leasing, demo arrangements, and purchasing of vehicles for the Group, ensuring compliance with company procedures and timelines.
  • Executive Transportation Requests:
    • Coordinate transport requests for executives and managers, ensuring timely and efficient vehicle allocation.
  • System Maintenance and Updates:
    • Maintain daily updates in the Manage Engine System, ensuring all relevant information is accurate and current. Process requests in the Corporate Services Helpdesk software, delegate tasks to appropriate teams, track progress, and ensure timely updates.
  • Stationery and Inventory Management:
    • Support the inventory management of stationery and printed materials by receiving, delivering, and organizing stock within the head office. Ensure that stockrooms are well maintained and properly replenished.
  • Administrative Duties:
    • Assist with daily administrative tasks, including filing, data entry, and communications with vendors, ensuring the department's smooth functioning.
  • Ad Hoc Support:
    • Undertake additional responsibilities as assigned by the Team Leader - Corporate Services, contributing to various department initiatives and special projects as needed.

EDUCATION & EXPERIENCE: 
  • 5 CXC/ CSEC Passes including English Language and Mathematics. 
  • 2 A’ Level/ CAPE passes.
  • At least 5 years’ experience driving both manual and automatic vehicles.
  • At least 1 year experience as a Clerical/Administrative Assistant.

ADDITIONAL REQUIREMENT:
  • As a regulated entity with obligations under the Know Your Employee guidelines, a Certificate of Character is required.

PERSON SPECIFICATION: 
  • The Corporate Services Assistant – must be pleasant and have a neat appearance.  He / She must have a good command of the English Language and should be able to interact effectively with members of staff and the public.  The incumbent must be able to work efficiently in a stressful environment with flexible/extended hours. He/ She must have a strong sense of responsibility, follow-up and be able to function well under stress.
