Position Summary

Implement, maintain and improve the Integrated Management System (IMS), ensuring that compliance with all ISO Standards become part of the organizational culture. The IMS Lead will maintain the management systems including policies and procedures, and business processes. This position provides support and training to ensure a widespread understanding of compliance and other organisational quality requirements and maintains the quality documentation and document management system.

Role Duties
  1. Manage the implementation of the IMS and direct all actions related to the design, maintenance and improvement of the IMS. Ensure the proper design of IMS programs, policies, process maps, procedures, work instructions and other required documentation ensuring alignment with the business operation strategies. Define guidelines and requirements for compliance with technical standards. Define strategies for the implementation of the IMS and raising awareness. Define strategies for the integration of the management systems.
  2. Plan and conduct internal audits, manage and participate in second and third-party audits. Establish the internal audit program and carry out the internal audit plan. Coordinate the execution of internal audit to the corresponding processes. Coordinate and manage all activities related to second- and third-party audits.
  3. Plan and coordinate the external certification process, as well as the preparation and maintenance of the company for IMS Certification. Maintain the IMS to ensure continued ISO certifications for ISO 9001 (Quality), ISO 14001 (Environmental) and ISO 45001 (Occupational Health & Safety). Manage all activities related to execution of the external certification audits.
  4. Plan all activities of the integrated management system. Make the annual work schedule of the IMS. Direct the meetings of the committees of IMS.
  5. Provide support and advice to the different processes of the management system. Provide support for the identification of risks and opportunities, legal requirements and improvement of the IMS. Provide support to process leaders for the analysis of the causes of nonconformities.
  6. Ensure that all relevant information, processes, actions, or decisions are created and properly recorded, stored, and accessible. Define criteria to ensure control of documented information. Establish the documents required to comply with the requirements of technical standards. Document opportunities for improvement from internal audits, management review, among others.
  7. Monitor, measure, analyze and evaluate the performance of the IMS with a view to improving the performance of the processes. Ensure the conservation of the documented information resulting from the audits and the review by management.                                               
  8. Present IMS performance reports to process leaders and/or senior management. Prepare monthly reports on the status of action plans to process leaders. Prepare annual report on the performance, adequacy, effectiveness and convenience of the IMS. Prepare internal audit report and present it to senior management. Prepare second- and third-party audit reports and share it with the corresponding process leaders and senior managers
  9. Identify IMS training needs manage and conduct training concerning the continuous improvement of the IMS as well as training of internal auditors and process leaders.
  10. Conduct awareness training to ensure that different parties within the organization are equipped with the necessary level of IMS knowledge.
  11. Adhere to ISO 9001, ISO 45001, ISO 14001 (and any other relevant standards) planning, processes, procedures, templates, work instructions for the organization. Review and update the IMS as and when required.
  12. Carry out a gap analysis of existing IMS and make recommendations to find adequate solutions to narrow that gap.
  13. Identify non-compliance in the system and send findings to management to ensure that corrective actions have taken place in a timely manner. Track and verify that corrective actions initiated, comply with external/internal technical audits Verify corrective action plans to ensure their effectiveness and maintain records. Follow up with the relevant department managers and functional heads to ensure timely completion of all corrective actions identified from the audit findings and identify corresponding preventive actions.
  14. Monitor and report on corporate and department KPIs.
  15. Support the planning of the evaluation of customer satisfaction. Periodically run the customer satisfaction survey to the clients and report the scores.
  16. Coordinate with the certification body for effective scheduling and conducting certification and surveillance audits.
  17. Update and manage the records and the necessary standards of documents and business processes pertaining to the IMS function to ensure compliance with set formats, specifications and document review clauses.
  18. Contribute to the identification and implementation of change initiatives, programs and projects in line with the organization’s standards.
  19. Adhere to all relevant health, safety, security environmental and information security procedures, instructions and controls so that the safety of employees and environmental compliance can be guaranteed.
  20. Know and practice the safety rules stipulated by the company. Use the appropriate Personal Protective Equipment to carry out the activities. Report to the supervisor or immediate manager any anomalies that occur in compliance with safety rules.
  21. Ensure compliance with the Department’s and Company’s policies, procedures and standards, through motivation, effective mentorship, training and development and performance management.
  22. Execute all relevant responsibilities as outlined in the Roles, Responsibilities and Authorities Matrix (MT-GM-004) to ensure compliance with the Integrated Management System (IMS).
  23. Perform any other related duties that may be assigned.

Education & Training
  • A Bachelor’s Degree in Technical, Science, Safety or Engineering discipline or any other related discipline from a recognized institution.
  • A minimum of three (3) years’ experience in a similar role, managing documentation and processes around ISO 9001, ISO 14001 and/or ISO 45001.
  • Certifications such as ISO 14001:2015 Lead Auditor, ISO 9001:2015 Lead Auditor, ISO 45001:2018 Lead Audit will be an asset.
  • Certification in Project Management will be an asset
  • Bilingual capability in English and Spanish will be an asset.
Experience
  • A minimum of three (3) years in a production or manufacturing environment.
  • Proven experience in implementing the Management Systems for Health & Safety (ISO 45001) and/ or Environmental (ISO 14001) and/or Quality (ISO 9001) will be an asset
  • Proven experience in Project Management
